This Privacy Policy explains how Lkota LLC collects, uses, stores, discloses, and protects information in connection with the Lkota Services.
1. Information we collect
Depending on use of the Services, Lkota may collect:
Account information
- name;
- business name;
- email address;
- telephone number;
- job title;
- account credentials;
- company address;
- billing information; and
- subscription information.
Seller and transaction information
- seller name;
- address;
- telephone number;
- email address;
- date of birth when required;
- driver’s-license or state-identification information;
- photographs of identification documents;
- signatures;
- vehicle ownership documents;
- bills of sale;
- powers of attorney;
- lien releases;
- payment acknowledgments; and
- transaction communications.
Vehicle information
- VIN;
- year, make, model, and trim;
- title information;
- odometer information;
- lien information;
- theft information;
- license-plate information;
- vehicle condition;
- photographs;
- videos;
- location of pickup;
- towing records; and
- vehicle reports.
Technical and security information
- IP address;
- device and browser information;
- operating system;
- login events;
- timestamps;
- approximate location;
- user actions;
- report downloads;
- access logs;
- authentication events; and
- security alerts.
Illinois treats driver’s-license and state-identification numbers as protected personal information and imposes requirements relating to safeguards, breach notifications, and secure disposal.
2. How we use information
Lkota may use information to:
- provide and operate the Services;
- authenticate users;
- verify identity;
- process VIN requests;
- generate transaction documents;
- obtain electronic signatures;
- manage vehicle workflows;
- prevent fraud and theft;
- identify title or lien concerns;
- maintain audit logs;
- provide support;
- bill customers;
- enforce agreements;
- secure the platform;
- investigate misuse;
- respond to legal requests;
- comply with regulatory obligations; and
- improve the Services using aggregated or de-identified information.
3. How we disclose information
Lkota may disclose relevant information to:
- ClearVin and vehicle-data providers;
- NMVTIS-related providers;
- hosting and cloud-service providers;
- identity-document or OCR providers;
- electronic-signature providers;
- payment processors;
- email and communication providers;
- professional advisers;
- security providers;
- Customer account administrators;
- government agencies;
- law enforcement;
- courts;
- lienholders; or
- other parties where disclosure is authorized or legally required.
Lkota does not grant Customer ownership of ClearVin Licensed Materials.
4. Customer responsibilities
Customers determine what seller and transaction information they submit and are responsible for:
- providing required privacy notices;
- obtaining required consent;
- establishing a lawful purpose;
- restricting employee access;
- ensuring submitted information is accurate;
- responding to seller requests where legally required; and
- complying with applicable privacy and vehicle-record laws.
5. Security
Lkota uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information, which may include:
- access controls;
- password protection;
- encryption in transit;
- encrypted storage where appropriate;
- tenant separation;
- logging;
- backups;
- role-based permissions;
- rate limiting;
- incident-response procedures; and
- employee confidentiality requirements.
No security method is guaranteed to prevent every unauthorized event.
The FTC recommends collecting only information needed for a legitimate purpose, restricting access, protecting retained data, and securely disposing of information when the business need ends.
6. Retention
Lkota retains information according to the Data Retention and Deletion Policy, Customer’s plan, contractual obligations, legal requirements, dispute needs, security needs, and legal holds.
Information may remain in backups for a limited period after deletion from active systems.
7. Privacy requests
Subject to applicable law, individuals may request:
- access;
- correction;
- deletion;
- restriction;
- a copy of information; or
- information about disclosure.

Lkota may verify identity before acting on a request. Certain information may be retained where needed for legal compliance, fraud prevention, security, contracts, claims, or vehicle-transaction records.
8. Children
The Services are intended for businesses and adults. They are not directed to children under 13, and children may not create Lkota accounts.
9. Changes
Lkota may update this Privacy Policy. Material changes will be communicated through the Services, by email, or through another reasonable method.
